AUTOMATION · DAVIE, SOUTH FLORIDA + REMOTE
Automation that does the busywork and knows when to stop
Most businesses lose leads in the gaps: a form that lands in an inbox nobody checks, a follow-up that never goes out, a CRM that is never updated. We connect your website, phone, email and CRM so every inquiry becomes a record, gets a response and reaches the right person.
An example you can test: our own inquiry pipeline
The contact form on this website runs on a system we built and operate:
- The inquiry is saved before the visitor sees a success message, so nothing is lost if a later step fails.
- The visitor gets an automatic receipt and the team gets a notification.
- Visitors who opt in receive follow-up emails after two, five and ten days. A repeat inquiry from the same address does not restart the sequence.
- Unsubscribing stops the sequence. So does moving the lead out of "new" in the CRM, so a person who has taken over is never talked over by automation.
- If an email fails or a send is interrupted, the message goes to a review queue instead of retrying automatically. That prevents duplicate emails.
Calls work the same way. Our AI receptionist extracts each caller's details into structured fields and sends them to the same follow-up system.
What we automate
- Lead intake: forms, calls, chats and ads, captured in one place with the source recorded.
- CRM workflows: records created and updated, owners assigned, stages changed.
- Follow-up: opt-in email and text sequences that stop when a person replies or takes over.
- AI agents: voice, chat and email assistants that work from your own information. See AI voice agents.
- Documents and data: extraction, routing and reporting that used to be copied by hand.
- Integrations: payments, telephony, email, calendars and the APIs your business already uses.
How we design it
- Map the process. Who does what today, where work waits, and where leads are lost.
- Decide what stays human. Approvals, pricing and judgment calls stay with your team.
- Build for failure. Every step logs what it did, failures go to a queue a person can see, and nothing sends twice.
- Measure. Response times, conversion by source, and what the automation actually saved.
Questions
Do I need to replace my CRM?
Usually not. We start by connecting what you already use. If your current tools cannot support the workflow, we explain the tradeoffs before recommending a change.
Will automated messages annoy my customers?
Not when they are opt-in, relevant and stop at the right moment. We build unsubscribe and stop conditions into every sequence, and we set up email authentication so your messages reach the inbox.
How long does an automation project take?
It depends on the number of systems and steps involved. We agree the first workflow and its scope before starting.
